  • To reply to your enquiry and give you an estimate. We use your details to contact you, visit your property and prepare a quote. The legal basis is taking steps at your request before entering into a contract.
  • To carry out the work if you go ahead. We use your details to plan and build your deck, keep you updated and handle invoices and warranties. The legal basis is performing our contract with you.
  • To meet our legal obligations, such as keeping financial records for HMRC.
  • To keep the website secure. The legal basis is our legitimate interest in protecting the site and our visitors.

We will never sell your information, and we won’t send you marketing emails.

Photos and reviews

If you leave us a review or let us photograph your finished deck, we will only show your photos or your name on our website or social media if you have given us permission. You can ask us to remove them at any time.

Who we share it with

We only share your information with the services we need to run the business:

  • Bluehost (Newfold Digital), which hosts our website and stores form enquiries
  • Our email provider, which handles emails sent to and from enquiries@ellisdecks.co.uk
  • Wordfence, the security plugin that protects the website
  • Trex, if you need a warranty registered on your Trex products
  • Our accountant, for invoices and tax records

Some of these providers store data outside the UK, including in the United States. Where that happens, they protect it with safeguards approved under UK data protection law, such as the UK International Data Transfer Addendum or the UK-US Data Bridge.

Third-party content on our website

Some parts of the site load content from other companies:

  • Google Maps on our contact page
  • Google Fonts for the text styling
  • Instagram, for our latest posts feed

These services may collect information such as your IP address when the content loads. Where they set cookies, we ask for your consent first through our cookie banner. See our Cookie Policy for details.

How long we keep it

  • Enquiries that don’t go ahead: up to 2 years, then deleted
  • Customer records (contracts, invoices, project details): 6 years after the work is finished, as required for tax purposes, and for as long as your Trex warranty runs where we need it for a claim
  • Website security logs: a few weeks, unless needed to investigate a problem

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct anything that’s wrong
  • ask us to delete your information
  • object to or ask us to restrict how we use it
  • ask us to transfer your information to someone else

To use any of these rights, email enquiries@ellisdecks.co.uk. We’ll reply within one month.

If you’re unhappy with how we’ve handled your information, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113. We’d appreciate the chance to put it right first, so please contact us before going to the ICO.
